How do I request a parking space at my apartment building?

Contact our office during regular office hours to be placed on a parking waitlist. If we have a space available, a lease addendum will be sent to you to review and sign.

How do I find my assigned parking spot?

For properties with assigned parking spaces, there should be a list of assigned parking spaces near the front door of the building. If you pay for parking, your assigned space will be specified in your lease addendum. If you have questions about the assigned parking, please contact our office.

Where do I update my vehicle information?

Vehicle information can be updated through your tenant portal. Simply log into your portal, select “Account Profile” on the left side, and update the vehicle information below your contact information. You can also update vehicle information by contacting our office.

What do I do when someone is parked in my spot?

If there is someone in your assigned parking space, please call Central Iowa Towing at 515-290-4188. You can also request the local police department issue a parking ticket for any unauthorized vehicle. To request a parking ticket in Ames, call the Ames Police Department at 515-239-5133. Even if someone else is in your parking spot, you are not authorized to park in another tenant’s parking space.

I think my car was towed, who do I contact?

If you believe your car was towed, try calling the local police department. In Ames, for example, towing companies report cars they have in their possession to the Ames Police. You can reach the Ames Police Department at 515-239-5133. If it is during regular office hours, contact our office and we can assist you with locating your vehicle.

Pets

Are pets allowed?

The majority of our residential properties are “pet friendly,” but prior approval is required. This means you must request and complete a “pet addendum” which provides the standards and regulations you will be expected to follow by having an approved pet in your rental property. Without prior approval, you would be in violation of the terms of the lease, and you could face significant service fees and even potential eviction. Each listing should state whether cats or dogs (either large or small) are permitted in that particular property. For other animal types, you should contact us to check. Currently, we do not have restrictions on animal breeds, but tenants are required to ensure pets are safe, will not destroy property, and will not disturb others. Current tenants can let us know about new pets by completing an online form.

What are the fees and deposits for having a pet?

For approved pets there is a monthly “pet rent” and a “pet deposit.” Currently, the pet rent is a flat rate of $50 per month for one pet and $70 per month for two pets. The pet deposit is a $250 deposit that is added to your security deposit and may be refunded in the same manner.

As explained in more detail below, we do not assess any pet rent, pet deposits, or any other fees for an approved assistance animal or service animal for a person with a disability.

How do I add a new pet?

Before you bring a new pet into your house or apartment it is required that you obtain prior approval. We have a simple online form that you can complete to begin the process of receiving authorization for a new pet. After your form is received we will review it and send out a pet addendum for all tenants to sign.

Why do all my roommates need to sign the pet addendum?

As with all other parts of the lease, all tenants on your lease are responsible for agreeing to the terms in the pet addendum. If one of your roommates is unwilling to agree to the pet addendum we will not be able to authorize your pet.

How do I get approval for an assistance animal or "emotional support animal"?

It is RentAmes Property Management’s policy to comply with federal, state, and local law by permitting an assistance animal or service animal for a person with a disability. In those circumstances, our ordinary “pet” policies do not apply, and we will not charge any extra deposits or fees. For more information, please see our Assistance Animal Policy.

You can make requests for any reasonable accommodation (including for a service animal or assistance animal) at any time by completing an online form. If you need assistance with the form, or you wish to make your request orally, you can call our office.

As explained in our Assistance Animal Policy, if you are requested to provide a statement from a healthcare professional supporting your need for an assistance animal, you can use the form at this link which has been prepared by the Iowa Civil Rights Commission for this purpose. If you contact us by phone or email, we will provide a printed copy of the form to you at no cost.

If you have specific questions or concerns about an assistance animal or service animal for a person with a disability, please contact us. Finally, please be warned that it is illegal, under Iowa Code chapter 216C, to intentionally misrepresent an animal as a service animal or a service-animal-in-training.

Utilities

Am I responsible for the ___ utility?

The provided utilities and extras vary with each property. Some properties may have free off-street parking, some may have free high-speed internet, and some may include water or electricity. Your lease will state which utilities are your responsibility and which are ours.

What dates do the utilities need to be in my name?

All utilities that are your responsibility must be in your name (or one of your roommates’ names) during the entire lease term. For example, if your lease is from August 1st through July 27th and you are responsible for the electricity and gas, both of those utilities must be in your name every day between August 1st through July 27th. Even if you move in late or move out early, the utilities must still be in your name the entire period of the lease except in very specific situations.

The same applies if you are responsible for snow removal or lawn care. You must ensure that the snow is removed or that the lawn is mowed even when you are away from the property (such as during winter break, spring break, or over the summer).

I forgot to put the utilities in my name, how do I stop getting charged service fees?

If you forgot to put a utility in your name you should resolve that as soon as possible. When we receive a utility bill for your property that was supposed to be in your name we will add the amount of that bill plus a service fee to your account. When the utility bill is placed in your name we will receive a “final bill,” and we generally will waive the service fee for that bill (but you will still be responsible for the amount charged).

What do I do when my RentAmes provided internet stops working?

In our residential units, internet service is provided and managed by third-party companies. When there is an issue or an outage with your provided internet service you should contact those companies (for example, you can contact ICS’s support if you have ICS internet). Our maintenance technicians are not able to help with internet issues.

Who do I contact when there is a power outage?

We have no ability to restore power when there is a general power outage to your entire house or building. Power outages need to be reported to your electric company (for example, the City of Ames Electric Department).

Moving In & Out

How do I schedule a check-in appointment?

You can schedule your check-in appointment at any time online. All appointments are first-come first-serve, so reserve your appointment soon!

How do I request an early move-in date?

Although we cannot guarantee an early move-in for everyone, complete the below form to see if we are able to accommodate your request. Please remember the following things when requesting an early move-in.

Remember, if you move-in early, you will be charged pro-rated rent. For example, if your rent is $992 a month, and you move in 5 days early, your pro-rated rent would be $160 for the 5 additional days.
Plan for the worst and schedule a check-in appointment assuming you will not be able to move in early. We can always move the appointment at a later time.
Wait to hear from us if you will be able to move-in early. If you do not hear from us, your unit will be available for your scheduled check-in appointment.
If your early move-in date is confirmed, change all utility start dates to your new (early) move-in date.
Your will receive a lease addendum acknowledging your early move-in. This must be signed by ALL tenants, even if they are not moving in early.

Where do I provide additional notes about the property condition after moving in?

Before your move-in appointment, our staff took notes and photos about the condition of your rental property. You should take time to review the condition of the property to see if there is anything we may have missed. Any additional noteworthy items must be reported to us within 3 days of when you moved in, and you can report them to us (including supporting photos) with a simple online form.

How do I schedule a check-out appointment?

You can schedule your check-out appointment at any time online. All appointments are first-come first-serve, so reserve your appointment soon!

When do I receive my security deposit refund?

Security deposit refunds are issued by mail within 30 days after both (1) the end of your lease and (2) you provide us with your forwarding address. You also need to allow sufficient time for processing and delivery by the postal service.

Generally, we will not answer questions about security deposit refunds until sufficient time has passed for processing and delivery. This means ordinarily we will not answer questions until 35-40 days after the end of your lease. If you have not received your refund or statement by that time, you should contact our office.

How do I appeal a deduction from my security deposit?

If you believe we made an error on your security deposit return statement you can complete an online appeal form. Your appeal should be specific and should include all evidence (such as photos or documentation) that supports your claim. After we have reviewed your appeal we will issue a final decision to you by mail.

Please note, we will not answer questions about security deposit deductions or refunds either in-person or by phone. For general questions, you should email our office. Otherwise, you should submit an appeal form.

Renter’s Insurance

Am I required to have renter's insurance?

Generally, our leases require that every residential tenant have liability-to-landlord insurance with a minimum coverage of $100,000 per occurrence for tenant liability damages. There are many “renter’s insurance” policies that offer this amount of coverage in addition to coverage for your own personal belongings. We strongly recommend you obtain your own renter’s insurance policy because they are often a better value with more coverage.

If you do not provide us with proof that you have adequate liability-to-landlord insurance coverage (or your coverage expires or lapses) you may be enrolled in lability-to-landlord insurance coverage at a rate not to exceed $15 per tenant per month (although the rate charged is currently lower than this). The cost for this coverage will be added to your account each month until you provide us with proof of adequate coverage. Remember, every tenant in your rental must provide adequate proof of insurance in order to have the fee removed.

Where can I upload/send my proof of renter's insurance?

Your proof of liability-to-landlord insurance coverage can be submitted on your tenant portal. Log in to your tenant portal and click on the insurance tab. There you will be asked to provide details of your insurance policy including the insurance company’s name, policy number, and effective dates. You should also upload a copy of your proof of insurance to speed up the verification process. Once we are able to verify your policy and coverage is adequate, we can remove any future fees for insurance coverage.

You should also upload proof of insurance when your policy renews. If your policy expires and we have not received an updated proof of insurance you may be enrolled in liability-to-landlord coverage until we receive proof of your new or renewed insurance coverage.

What is this "insurance" fee I was charged?

Generally, our residential leases require that you provide us with proof of adequate liability-to-landlord insurance coverage before your move-in date. If you (or one of your roommates) do not provide us with proof of adequate insurance coverage you may be enrolled in liability-to-landlord insurance coverage at a rate not to exceed $15 per tenant per month. These fees will continue to be added to your account each month that we do not have proof of adequate insurance for every tenant on the lease. Additionally, if your policy expires or lapses you may be enrolled in coverage at that time.

Maintenance

How do I submit a maintenance request?

Routine maintenance requests should be submitted on your tenant portal. After you log in to your tenant portal, there is a “Request Maintenance” button on both the home tab and the maintenance tab. However, for “maintenance emergencies” you should follow the steps below.

Please provide adequate details so our maintenance technicians can come prepared to resolve the issue quickly. You can also upload pictures with your maintenance request which can greatly help identify the problem. Remember, you should report maintenance issues as soon as possible so we can get them fixed without any further damage or problems.

What is a maintenance emergency?

Our maintenance technicians are available 24/7 to respond to maintenance emergencies. But what is a maintenance emergency?

A maintenance emergency includes anything that is likely to cause injury or harm to people or serious damage to property if left unresolved. Some examples of maintenance emergencies include water leaks, gas leaks, fires, carbon monoxide alarms, sewer backups, and flooding. These are always maintenance emergencies that should be reported immediately (and by calling 911 if there is a life-threatening emergency such as a fire). Other examples of maintenance emergencies are dependent on the situation. This would include a broken air conditioner when it is extremely hot, non-functioning heat when it is extremely cold, or being locked out of your apartment/house and your roommates aren’t able to let you in.

Generally, any other maintenance issue that can wait to be resolved during business hours is not a maintenance emergency. These issues should still be reported promptly, but you should always report these on your tenant portal. Examples that are generally not maintenance emergencies include malfunctioning air conditioners or heat when the temperatures are not extreme, power outages (report this to the electric company), malfunctioning kitchen appliances, burnt-out lightbulbs, problems with internet service, or no hot water.

What do I do when my power goes out?

How do I report a maintenance emergency?

Life-threatening maintenance emergencies (such as a fire) should always be reported to 911 first. Afterwards you should report the issue to our office.

During business hours you can report maintenance emergencies by calling our office: 515-268-2287.

After business hours you can report maintenance emergencies by calling our on-call maintenance technician: 515-451-5023. Please leave a voicemail if they are unable to answer your call as they may be busy answering or responding to other calls.

How do I check the status of my maintenance request?

After you have submitted a maintenance request, you can see the status on your tenant portal. Log in to your tenant portal and go to the maintenance tab. You will be able to see pending maintenance requests and their status, as well as completed maintenance requests.

Where can I view my lease?

Your lease can be accessed 24/7 on your tenant portal. Login to your tenant portal. On the home tab there is a section called “Current Lease” where you can view the lease online or download a PDF.

Does the lease permit ___?

We recommend you read your lease because it addresses many common questions and it will tell you exactly what is permitted or what you would need permission for (for example, a pet). You can see your current lease in your tenant portal.

How do I sublease my apartment or house?

You can request to sublease your rental unit by completing a simple online form at the link below. This form lets us know that you want us to post your apartment or house as available, or you can tell us if only one roommate is looking to move out. You should also read over the subleasing section of your lease which provides greater details about the subleasing process, the fees, etc.

When and how can I renew my lease?

Generally, we will send out renewal offers to our tenants in the late Fall or early Winter months. The renewal offer will explain the proposed new term (dates), rent, etc. If you want to renew you can simply follow the instructions in the renewal offer by the listed deadline and a new lease will be sent to you. If you don’t respond we may begin to advertise your unit to new tenants, so don’t delay!

What do we do when we want to renew our lease, but one roommate wants to move out?

When one roommate wants to move out and a new roommate wants to move in, we call that a “roommate swap.” You will need to complete a roommate swap form to let us know which roommate is moving out, and who the new roommate will be. After we have received your form we will reach out with the next steps including an online agreement to sign to formalize and complete the swap.

Can I cancel my lease early?

Our leases do not have early termination clauses and every tenant is responsible for the full term of their lease. If your plans change and you want to move out earlier than expected, you may want to consider subleasing your rental unit. But you will still remain responsible for all obligations (including rent, utilities, etc.) during that process.
